Manage walk-ins, cancellations, refunds, and balance reminders

Viewing Bookings

Open any event to see its bookings list. Each booking shows the customer name, email, number of slots, payment status, and booking reference.

Adding a Walk-In

For customers who arrive without a booking:

  1. Open the event detail page
  2. Click Add Walk-In
  3. Enter the customer’s name and email (required), and optionally their phone number
  4. Set the number of slots
  5. Choose whether the deposit and/or balance have been paid
  6. Select the payment method used for the deposit (cash, card, etc.)
  7. Optionally tick Send payment link to email the customer a link to pay their balance online
  8. If the event uses slot mode, select the specific time slot
  9. If the event has ticket types, select the appropriate ticket type and quantity
  10. Click Add Walk-In

Cancelling a Booking

  1. Open the event and find the booking
  2. Click Cancel
  3. The customer will receive a cancellation notification email

Cancelling a booking frees up the slot(s) for other customers.

Processing a Refund

  1. Open the event and find the booking
  2. Click Refund
  3. The refund is processed through Stripe back to the customer’s original payment method

Marking Balance as Paid

If a customer pays their remaining balance in person (e.g. cash or card at the venue):

  1. Find the booking on the event detail page
  2. Click Mark Balance Paid

This updates the booking status without processing a Stripe payment.

Sending a Balance Reminder

To nudge a customer who hasn’t paid their balance:

  1. Find the booking on the event detail page
  2. Click Send Balance Reminder

This sends an email with a payment link so the customer can pay online. Automatic balance reminders are also sent based on the Balance reminder days setting on the event.

Resending a Slot Invite

If a customer didn’t receive their original booking confirmation or slot details:

  1. Find the booking on the event detail page
  2. Click Resend Invite

This re-sends the booking confirmation email.
