Managing Your Team

Invite team members, assign roles, and manage access

Team Page

Go to Team in the sidebar to see all team members with access to your venue’s dashboard. Each entry shows the member’s name, email, and role.

Roles

There are three roles:

  • Owner — Full access to everything, including billing and team management. Cannot be removed.
  • Admin — Full access to events, customers, members, gift cards, and settings. Can invite and remove team members.
  • Member — Can view and manage events, customers, and bookings. Cannot manage the team or change settings.

Inviting a Team Member

  1. Go to Team
  2. Enter the person’s email address
  3. Select their role (admin or member)
  4. Click Invite

If the person already has a Clay Ledger account, they’re added immediately. If not, an account is created and they receive an invitation email with a link to set up their password.

Changing a Team Member’s Role

  1. Go to Team
  2. Find the team member
  3. Select the new role from the dropdown
  4. The role updates immediately

You cannot change your own role.

Removing a Team Member

  1. Go to Team
  2. Find the team member
  3. Click Remove

The person loses access to your venue’s dashboard immediately. Their user account is not deleted — they can still access other venues they belong to.

You cannot remove yourself from the team.

Activity Tracking

All team management actions (inviting, removing, role changes) are recorded in the Activity log for audit purposes.
